What is NetID?

Your NetID is a Colorado State University System electronic identity that will replace CSU Fort Collins eIDs and CSU Pueblo eAccounts. Every student, faculty, and staff member will have a NetID.

NetID is coming to CSU Fort Collins in Summer 2023.

NetID has already been adopted by our system partners at CSU Pueblo.

No action will be required by eID users after the switch to NetID.
NetID FAQ:
What will the equivalent to eid.colostate.edu be for NetID?

Currently, it is https://eid.colostate.edu/csusystem, but after the cutover, eid.colostate.edu will automatically redirect to this site.

If a student is admitted prior to August 1st, but did not set up an eID by that date, will they need to set up an eID or will they receive a Net ID?

They will receive a NetID (C8########).

What happens when someone returns to CSU after the cutover?

They will have the same CSUID, but the status of the eName depends on whether it was active at the time of the cutover. An eID that was already expired at the time (Ex: an employee who left in 2021) will not have their eName migrated, and they will instead be reactivated with a NetID. If the eName was active at the time of the cutover, the user could reactivate and have the same eID/eName.

The amount of time before the eName will not be migrated is to-be-determined.

Is there the capability to disable a NetID early for an involuntary employee termination where the employee may pose a risk to the organization?

Yes, we have a Manually Disabled feature that will immediately deactivate an account that Netid Admins can perform.

Will NetIDs, after being disabled, be kept indefinitely or will they be reused by a new person at some point?

NetIDs will be kept indefinitely.

General eID Information

We don't give eNames or ePasswords over the phone.  The Registrar's office (students), Admissions (applicants) or HR Helpdesk (faculty/staff) can give eNames over the phone as they can verify identity.

ACNS is responsible for eID extensions for students only, not associates, faculty, or staff.

If a user forgets their eName they can recover it online by going to eid.colostate.edu and going through the password reset process. They can either use a recovery email or enter in their CSU ID number. Once they have changed their password they will be able to click on the "Show My Information" link on the left. They will be logged into the site so their information will be displayed.

If a department needs temporary eIDs for visiting scholars or a conference being held at CSU to access the eID network or online resources, they will need to speak with their local HR rep. ACNS does not create temp eID's for these instances

eID Expiration Time Periods

  • Applicants: eID expires 45 days after the application period.
  • Students: eID expires 365 days after the student's last class.
  • Faculty/Staff: eID expires 30 days after the employee’s separation from the University or the Appointment End Date (if applicable).
  • Post-Doctoral fellows, interns, residents, and sponsored researchers: eID expires 30 days after University affiliation ends.
  • Retirees: Retirees keep their eID for life.
  • Associates: eID expires 30 days after appointment ends.

Secondary eIDs

Requests for Secondary eIDs go through us. There are two steps to sending secondary eID requests up to the Middleware & IAM team under the sub-request type IAM Requests. The first step is to go through a normal HL2 ticket escalation following this guide. You need to be sure to include the following information:

  • The client's primary eName (eID)

  • The client contact information

  • An eName for the secondary account. Make sure the eName is available using eIDAdmin (up to 8 characters; lowercase letters and numbers only; must start with a letter)

  • Whether the clients primary account should remain open or be closed

  • The secondary account's purpose and intended user(s)

The second step is in eIDadmin. If you go to "Request Account Change" there is an option to request a new secondary eID. You will need to enter the same information provided in the ticket, primary eName, seconday eName, and purpose. When you go through this process the eName for the secondary account is reserved (and another email is sent to Middleware & IAM).

Secondary account requests that we should not escalate:

-Instructor requesting a secondary eID so that they can see Canvas from a student's perspective:

The secondary eID will mirror the instructor's status as a Faculty remember so the secondary will not see the student's view and there is a mode built into Canvas that allows this to be done without another account. Instructors requesting this should be forwarded to canvashelp@colostate.edu.

Deleting a secondary eID

If someone asks for a secondary to be deleted, include a tech note with the HL2 Escalation format and set the request type as Middleware & IAM, the sub-request type as IAM Requests, and the tertiary request type as eID.

Processing name changes and eID

 

Students:

  1. Log onto RAMweb or RAMrecords
  2. Select the “Manage My Student Records” link under the Records section
  3. On the next page, select “Legal Name,” “Social Security Number,”Legal Gender or Sex Marker,” or “Date of Birth,” depending on what you would like to change.
  4. Complete the online form and upload the required documentation through the secure document upload.

 

Non-Students:

Employee Self-Service can be used to change name, address, and phone number. Please note: if you update your name in ESS, you must contact your departmental HR liaison so they can verify the change (SSN card or ID).

 

First.Last Emails

An updated last name will automatically be used in the online directory and for Outlook's Global Address List. However, to have an updated last name applied to a user's first.last@colostate.edu address, a person must go to https://eid.colostate.edu > click "Modify Your eID" > click "Email Settings" and submit the resulting form.

Resetting an eID password

Students, faculty, and staff can reset their eID password by visiting the eID registration page.

 

 

Click "I forgot my ePassword".

 

If the user has set a recovery email they can use that or they can answer their password recovery questions.

 

Follow the instructions in each of 4 steps. At the end, the patron will be able to reset their ePassword and it will be emailed to them at their CSU email address.

 

 

 

 

At the end of the process, they can click "Show my Information" in the upper left to see their eID if they forgot their eID and did the process using their CSU ID.

Ename Changes

We only allow eNames to be changed in cases where personal safety is an issue. Legal name changes do not require an eName to be changed. Because the eName is a username and CSU email addresses can send mail as a first.last alias the eName is not public information and can only be seen by the user. Here is a small explanation of eName changes from HRs website:

"Because of many local and externally-hosted systems that depend on your eName as a long-lived unique identifier, your eName must remain the same for your entire stay at CSU and cannot be changed. Please choose an appropriate eID eName with this in mind."

ePasswords

ePasswords have the following requirements:

  • Your ePassword must be 15 to 30 characters long.

  • Capitalization matters! Capital "R" is not the same as lower case "r".

  • eName, legal first or last name cannot be part of your password.

  • Passwords in the account history cannot be reused.

  • Cannot contain these characters: @ $ & " ( ) ' ; = # * blank_space < > ,

ePasswords have to be changed every year or else they will expire. If an ePassword expires the user will not be able to log into any CSU websites except eid.colostate.edu. There they can use the Change ePassword link to reset their expired password.

No eID password resets for when they have forgotten their security questions can be done through the IT helpdesk by phone. They can bring a photo ID to the Library Help Desk and have their passwords reset in person by a full time staff member or they can call the appropriate department:

Prospective Students and Student Applicant – Admissions (1-6909)
Enrolled Student or Former Student – Registrar (1-4860)
Faculty\Staff\Associate – Human Resources (1-6947)

New passwords can take up to 20 minutes to sync with all of our systems. If someone is having issues logging in especially to Office 365 make sure they have waited more that 20 minutes after changing their password.

eID for Faculty/Staff

Employee ePassword resets can be done by phone through the eID websites password recovery or through Central HR 970-491-6947. Employee eID issues beyond simple troubleshooting are referred to their department HR coordinator (the person they completed their employment paperwork with).  

Secondary eIDs are created on the eID Admin website under Request Account Change or these can be escalated to the Middleware & IAM group. These are often created so faculty/staff can have an additional email accounts (Office 365) for a group or organization. Individuals can manage their own secondary IDs, once created, by logging in at eid.colostate.edu with the secondary eID.

eID Extensions:

Faculty, staff, or associates that need an eID extension for any reason need to contact their department's Human Resources representative NOT ACNS.Then, the Human Resources representative within that specific department can adjust the "End Appointment Date" section, which will grant that specific person extended access to his/her email and other resources accessed with an eID until that specified date. ACNS does not administer eID extensions for faculty, staff, or associates because ACNS does not have access to change or adjust any Human Resources records at any point in time. Because of this, ACNS is responsible for eID extensions for students only. If any Human Resources representative has any questions about this procedure, please have them contact a representative from the Middleware group. eID for Students

If a student has forgotten their password and has not answered their password questions or set up a recovery email, they can bring a photo ID to the helpdesk in the library or you can refer them to the Registrar's Office 1-4860.

eID Extensions:

If a student needs access to their eID that has recently been deactivated or that will enter dead lag soon we can escalate a ticket to the App Dev team and have it extended for a short period of time (normally a couple of weeks max). This will give students more time to move any emails or contacts that they may need. Be sure that the reason for the extension is a good one. Wanting to watch videos through the Library website for fun does not warrant an eID extension. 

ACNS is responsible for eID extensions for students only, not associates, faculty, or staff.

eID for new student applicants (Admissions Office) - eIDs are created when students apply. Visit this link for applicant eID/password help.

eID Creation issues

If someone is running into issues during the first.last creation process of registering for their eID check to see if their name has any special characters in it. Email addresses at CSU can only contain these characters:

Uppercase and lowercase English letters (a-z, A-Z)
Digits 0 to 9

Characters ! # $ % & ' * + - / = ? ^ _ ` { | } ~
Character . (dot, period, full stop) provided that it is not the first or last character, and provided also that it does not appear two or more times consecutively.

Accented characters often cause issues with the creation of first.last aliases. If the user is a student they will have to contact Admissions to get their name changed in the system before they can create their eID. If they are Faculty or Staff they will have to contact HR for the name change.

Class Auditing

If someone is auditing a class, even though they are not actually a student, their eID should not expire because they will still need access to Ramweb and Canvas.

Multiple ID Numbers for One Person

In the very rare case that we find a person at the university has two CSU ID numbers linked to them we will have to have their records looked at. We should look up both accounts in eIDAdmin and try to confirm that they are both linked to the same person. Normally the names and addresses will be the same. If this is ever the case and the user is a student we need to notify the Registrars' Office and if the person is an employee or associate we need to notify Central HR and they can decide the best course of action.
